To expand our Eastern Mediteranian Country office team to keep pace with growth, we are looking for and Administrative Officer for a 9 month contract.
The position is a position with 39 h/week.
This position is only filled locally. With contractual conditions of the respective country. An expatriation is not intended.
These are your responsibilities
- Manage professional office administration and efficient operations of the Country Office.
- Ensure office and property/facility management, including but not limited to professional front office services, office cleanliness, organizing and overseeing maintenance and repair works on CBM premises and property, and following up on accessibility and Inclusion audits
- Oversee and supervise the procurement process at the CO- Receive procurement requests, send out for quotations, organize the Procurement Committee’s meetings, draft the minutes of the meetings, raise purchase orders.
- Maintain relationship, contacts and up to date records regarding service contracts,
- Oversee settlement of office running bills and ensure that queries/anomalies are dealt with promptly
- Oversee the safety and security of the premises
- Prepare and submit timely and informative scheduled or ad-hoc reports as requested
- Asset and inventory management and disposal procedures as guided by CBM and relevant donor guidelines, with close collaboration with the Finance unit.
- Oversee general office insurance of assets and facilities
- Ensure oversight of the IT infrastructure in country in coordination with the IT unit
- Prepare and submit exemption requests (e.g., tax or duty exemption) to relevant authorities
- Manage the daily petty cash (inflows and outflows)
- Record all cash transactions accurately in the cash register or logbook
- Submit receipts and supporting documents to the finance team
These are your qualifications
- Tertiary qualifications in General Management, Business and Procurement Administration or related discipline
- Minimum 5 years’ experience within a similar position
- Sound business awareness and management skills
- Proficiency in Microsoft Office suite, web-based and data application tools
- Ability to work diplomatically and with sensitivity with individuals from a variety of cultures, professions and personal backgrounds.
- Excellent communication and interpersonal skills
- Demonstrates excellent organisational and time management skills
- Ability to work effectively under pressure, and under minimal supervision.
- Effective team player.
- Advantage of lived experience with disability.
- Strong analytical, conflict-resolution and problem-solving skills
- Ability and willingness to learn, and to pass on information / train as required
- Willingness to commit and adhere to CBM mandate, mission, vision and values.
- Identification with the Christian values and mandate of CBM.
